How automated reminders work
When you have an event in ApoClock and a Discord channel connected, reminders fire automatically — no manual action required from any leader or coordinator:
- 60 minutes before the event: A rich embed posts to your Discord channel with full event details and member availability.
- 15 minutes before the event: A second reminder fires as a final heads-up.
Both reminders include exactly the information members need without having to ask:
- Event name
- APOC time (server time) and UTC equivalent
- Which members are expected to be in their active hours at event time
- Event duration and recurrence details
What the reminder embed looks like
Each reminder is a Discord embed — formatted, colour-coded, and clearly structured. A 60-minute reminder reads something like this:

Setting up reminders
Reminders work automatically once two things are in place:
- An event exists in ApoClock — with an APOC start time, duration, and recurrence (or specific date). How to create events →
- A Discord webhook is connected — either via the 1-click wizard or by pasting a webhook URL manually in
Settings > Discord > Manual setup.
No further configuration is needed. Every event with a future start time will automatically trigger reminders to the configured channel.
Recurring events and reminders
Recurring events — daily or weekly — generate reminders for every upcoming occurrence automatically. Set a war event to repeat every Tuesday and Friday at APOC 20:00 and ApoClock will fire the 60-minute and 15-minute reminders before every single instance, indefinitely.
This is the difference between a coordinator who has to remember to post reminders every week and an alliance that runs on autopilot.
Event announcement embeds
In addition to reminders, ApoClock posts an announcement embed when events are created, updated, or deleted:
- Created: Full event details posted to Discord immediately.
- Updated: Edit embed shows what changed (time, recurrence, description).
- Deleted: Removal notice so members know the event is cancelled.
